Workplace vending services by location
What a full workplace vending service includes
Most workplaces do not want to own a vending machine — they want the outcome: cold drinks, snacks and coffee available on site without adding a task to anyone's job description. A full vending service means one operator takes responsibility for the machine and everything around it, so facilities and office managers never touch it.
This is different from buying a machine and managing it yourself, and different from a bare machine-hire arrangement where you still organise stock, service calls and payment reconciliation. With our service model the entire chain sits with us.
- Machine supplied — snack, drink, combination, coffee, fresh food or smart fridge
- Delivery, placement and installation, including stairs and difficult access
- Scheduled restocking based on real sales data, not a fixed calendar
- All servicing, breakdowns, parts and refrigeration attendance
- Insurance, food safety compliance and public liability cover on the machine
- Cashless payment systems fitted and reconciled — card, phone and coin
- One phone number for everything — no call centre, no ticket queue
Vending machine supply and installation
Supply starts with a site assessment: how many people pass the machine position each day, what they are likely to buy, where the power point is, and how the machine gets into the building. From that we recommend a machine class — a compact combination unit for a 30-person office, or separate snack and drink machines plus coffee for a 300-seat site.
Installation is our job, not yours. We bring the machine in, level it, configure the controller, load your product pricing, fit and test the payment system, and run the first vend before we leave. Typical lead time from approval to a working machine is about one week.
| Site profile | Typical service setup |
|---|---|
| Office, 25–60 staff | One combination machine, weekly refill |
| Office, 60–150 staff | Snack + drink machines, weekly refill |
| Head office or campus, 150+ staff | Multiple machines, coffee or fresh food, twice-weekly refill |
| Warehouse or industrial | Drink + combo machines, cashless + coin |
| Medical or 24/7 site | Combo + coffee machine, out-of-hours refill schedule |
Setups are a guide — the final recommendation follows the site assessment.
Vending machine restocking and servicing
Restocking is where most vending arrangements quietly fail. A machine that sits half empty, or full of products nobody buys, teaches your team to stop using it. Our restocking is driven by sales telemetry: the machine reports what it sold, and the next run brings exactly what the site is actually buying. Slow lines get rotated out; popular lines get double-faced.
Servicing is included end to end. If a coil jams, a compressor warms up, or a card reader drops offline, you call one number and we attend. Parts, labour and refrigeration work are all on us — there is never an invoice to the site for keeping the machine running.
- Refill frequency matched to sales: weekly, twice-weekly or fortnightly
- Telemetry-monitored stock levels on connected machines
- Product mix reviewed against real sales data each run
- Breakdown response with parts carried on the service vehicle
- Card reader monitoring and remote restarts before you notice
Nationwide vending service coverage
We service workplaces across Australia — every capital city plus regional centres on established service runs. That matters for organisations with offices in more than one city: instead of managing a different vending supplier per site, you get one provider, one standard of service, and one point of contact nationally.
Regional coverage follows the same model. Machines on regional runs are stocked and serviced on a scheduled circuit, with the same telemetry and the same no-cost structure as metro sites.
| Region | Service coverage |
|---|---|
| NSW / ACT | Sydney, Newcastle, Wollongong, Central Coast, Canberra and regional runs |
| VIC | Melbourne, Geelong, Ballarat, Bendigo and regional circuits |
| QLD | Brisbane, Gold Coast, Sunshine Coast, Toowoomba, Townsville, Cairns |
| WA | Perth metro and scheduled regional runs |
| SA / TAS / NT | Adelaide, Hobart, Darwin and surrounding centres |
What it costs the workplace
For qualifying sites — generally 25 or more people, or steady public foot traffic — the full service costs the workplace nothing. Our return comes from product sales at normal retail prices, so there is no hire fee, no rental, no service fee and no lock-in contract. If the machine does not suit the site, it can go.
Smaller sites, or workplaces that want to own the equipment and keep the margin themselves, can buy instead: used refurbished machines from $1,650 + GST, new machines quoted per model, with the payment system and transport quoted line by line before you commit.
- $0 hire, $0 install, $0 servicing for qualifying sites
- No lock-in contract — 30 days notice either way
- Buy-outright option for sites under 25 people or owner-operators
- Used machines from $1,650 + GST, payment systems from $550 installed
Why one provider beats three vendors
The common workplace vending failure pattern is split responsibility: a machine hired from one company, stocked by another, and serviced by whoever answers the phone. Every problem becomes an argument about whose job it is. A single-provider service removes the seams — when anything goes wrong, it is ours to fix, full stop.
It also means the product range, the pricing, the payment options and the service standard are decided once, by people looking at your site's actual sales data, rather than negotiated between vendors who never talk to each other.
Frequently asked questions
What is included in a workplace vending machine service?
Everything: the machine itself, delivery and installation, scheduled restocking, all servicing and breakdown repairs, insurance, and cashless payment systems. For qualifying sites the whole service is provided at no cost to the workplace.
How much do vending machine services cost in Australia?
With a full-service operator, qualifying sites pay nothing — the operator earns from product sales. Sites that prefer to own equipment can buy used machines from $1,650 + GST, or new machines quoted per model, and run them themselves.
How often are workplace vending machines restocked?
Restocking follows real sales, not a fixed calendar. Busy machines are refilled weekly or twice-weekly, quieter sites fortnightly, and connected machines report stock levels by telemetry so runs are never wasted.
Who fixes the machine if it breaks down?
We do. Breakdowns, parts, refrigeration and payment system faults are all covered by the service — you call one number and we attend. There is never a repair invoice to the site on a serviced machine.
Do you service workplaces outside the capital cities?
Yes. We run scheduled service circuits through regional NSW, Victoria, Queensland, WA, SA, Tasmania and the Territory. Regional sites get the same no-cost structure and telemetry-monitored restocking as metro sites.
What size workplace qualifies for a free vending service?
As a guide, sites with 25 or more people — or public venues with steady daily foot traffic — qualify comfortably. Smaller sites can still be serviced with a compact combination machine, or can buy a used machine outright.
Do you provide a warranty on used machines?
Yes, refurbished machines carry a parts and labour warranty from delivery, with the term stated on the invoice rather than implied. Payment systems fitted at refurbishment carry the manufacturer's own warranty on top of that.
Can staff pay with a phone rather than a card?
Yes. The card readers we fit accept Apple Pay, Google Pay and Samsung Pay through the same tap interface as a contactless card, which is now the majority of transactions in most offices we service.
What stops the machine running out before the next refill?
Capacity is matched to the refill interval, not the other way around, and the planogram gives the fastest sellers more than one spiral. Where sell-out is a risk, telemetry triggers an earlier visit rather than waiting for the schedule.
